Agreement to Terms

By booking or using Ottawa Ride's services, you agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not use our services.

1. Service Description

Transportation Services

Ottawa Ride provides premium transportation services including:

Airport transfers to and from Ottawa Macdonald-Cartier International Airport
Hourly chauffeur services within the Ottawa-Gatineau region
Long-distance transportation to major Ontario cities
Custom transportation solutions for special events
Corporate transportation packages

Service Limitations

Our services are subject to:

Vehicle availability and driver scheduling
Weather conditions and road safety requirements
Legal and regulatory compliance
Geographic service area restrictions
Advance booking requirements for certain services

2. Booking and Reservations

Booking Process

Bookings can be made online, by phone, or via WhatsApp
All bookings require customer contact information
Pickup and drop-off locations must be specified
Date and time preferences must be provided
Special requirements should be noted at booking
Payment deposit required to confirm reservation

Booking Confirmation

Confirmation provided within 24 hours of booking
Trip details sent via email and/or SMS
Driver contact information provided before pickup
Booking reference number issued for tracking
Changes or cancellations must reference booking number

Booking Acceptance

All bookings are subject to acceptance by Ottawa Ride. We reserve the right to decline bookings based on availability, safety concerns, or other operational considerations. If a booking is not accepted within 24 hours, any deposit paid will be fully refunded.

3. Pricing and Payment

Payment Structure

Deposit: 30% of total fare (maximum $200) required at booking
Balance: Remaining amount due at completion of service
Taxes: All prices include applicable HST (13% in Ontario)
Currency: All prices quoted in Canadian Dollars (CAD)

Credit Cards (Visa, MasterCard, American Express)
Debit Cards
Cash (exact change preferred)
Interac e-Transfer
Corporate accounts (pre-approved)

Additional Charges

Wait time beyond included allowance
Additional stops not included in original booking
Cleaning fees for vehicle damage
Toll charges for certain routes
Premium add-on services

Pricing Policy

No Hidden Fees: All standard charges are disclosed at booking. Prices are fixed and not subject to surge pricing or dynamic adjustments.

Price Changes: Quoted prices are guaranteed for 48 hours from booking. Prices may be adjusted for significant changes to trip details or fuel surcharges.

4. Cancellation and Refund Policy

Customer Cancellations

More than 24 hours before pickup: Full refund of deposit

4-24 hours before pickup: 50% refund of deposit

Less than 4 hours before pickup: No refund (deposit forfeited)

No-show: Full fare charged, no refund

Ottawa Ride Cancellations

If we must cancel your booking due to circumstances beyond our control:

Full refund of all payments made
Assistance in finding alternative transportation when possible
Advance notice whenever feasible
No liability for consequential damages

Force Majeure

Ottawa Ride is not liable for cancellations or delays caused by events beyond our reasonable control, including but not limited to: severe weather, natural disasters, government restrictions, traffic accidents, vehicle breakdowns, or other unforeseen circumstances.

5. Customer Responsibilities

Before Service

Provide accurate pickup and drop-off information
Be ready at scheduled pickup time
Provide valid contact information
Inform us of any special requirements
Ensure payment method is valid and available
Notify us of any changes as soon as possible

During Service

Treat driver and vehicle with respect
Follow all safety instructions
Wear seatbelts at all times
No smoking, illegal substances, or excessive alcohol
Keep vehicle clean and undamaged
Supervise children and ensure proper restraints

Prohibited Conduct

The following behaviors are strictly prohibited:

Harassment, discrimination, or abusive behavior toward driver
Damage to vehicle interior or exterior
Illegal activities or possession of illegal substances
Excessive intoxication that poses safety risks
Bringing prohibited items (weapons, hazardous materials)
Exceeding vehicle capacity limits

6. Liability and Insurance

Insurance Coverage

Ottawa Ride maintains comprehensive insurance coverage:

Commercial vehicle liability insurance
Passenger accident coverage
Property damage protection
Professional liability coverage

Limitation of Liability

Ottawa Ride's liability is limited to the amount paid for the specific service. We are not liable for:

Indirect, consequential, or punitive damages
Lost profits, business opportunities, or personal time
Missed flights, appointments, or events due to traffic or delays
Personal property left in vehicles
Damages exceeding the fare paid for the service

Customer Liability

Customers are liable for:

Damage to vehicle caused by customer or their party
Cleaning fees for excessive mess or odors
Additional charges for prohibited conduct
Legal consequences of illegal activities

7. Service Standards and Expectations

Punctuality

Drivers arrive within pickup window
Flight monitoring for airport transfers
Traffic optimization and route planning
Real-time updates for delays
15-minute grace period for customer delays

Professional Standards

Licensed and insured professional drivers
Clean, well-maintained vehicles
Professional appearance and conduct
Courteous and helpful service
Respect for customer privacy and preferences

Service Recovery

If our service does not meet your expectations, we are committed to making it right:

Immediate response to service concerns
Investigation of complaints within 24 hours
Appropriate remedies including refunds when warranted
Process improvements based on feedback

8. Privacy and Data Protection

Your privacy is important to us. Our collection, use, and protection of your personal information is governed by our Privacy Policy, which is incorporated into these Terms and Conditions.
